What does AI on company data mean?

An AI assistant working with company data answers questions using information the business has made available to it. In work management, this may include tasks, jobs, documents and team decisions, depending on configuration and access.

Define access to information

Choose the process and data needed to support it. To identify jobs needing attention, relevant information includes statuses, deadlines and decisions attached to each job. Access to unrelated information may not help the assistant do the task.

Review visibility with your administrator before launch. Define which databases and documents the assistant can access and how this relates to user permissions.

Test a question about information the assistant should not see. Do not assess configuration only through examples where an answer is available.

Separate answers from actions

Answering “which jobs need attention?” is different from creating a task for the person responsible. Describe the operation precisely: what record is created, which job it relates to and who takes ownership.

What should an approval show?

The user should understand a proposal before approving it. “AI wants to take an action” does not explain what will change in the data.

  • Operation: for example, creating a task to confirm an appointment.
  • Connection: the job the proposal relates to.
  • Ownership: the person who will receive the task.
  • Decision: a choice to approve or reject the proposal.

Test both approval and rejection. Check the outcome in the data rather than relying only on the assistant’s message.

Test one scenario

Start with a recurring question from your team. For example: “Which jobs are waiting for appointment confirmation?”. Identify the data needed to answer it and the next step the assistant should suggest.
